AI Governance Policy Template
A board-ready starting policy for organizations already using AI without having decided who authorizes what.
What it is
Fourteen sections written to be adopted, not admired: purpose, scope, definitions, principles, authorized and prohibited uses, data handling, human review, disclosure, tool approval, training, incidents, records, review cycle and adoption — plus a decision owner matrix and a short guide to the five fields that decide whether the policy works.
Inside the template
- A complete draft AI use and governance policy (14 sections)
- A decision owner matrix: who decides, and what evidence it produces
- A guide to the five fields organizations get wrong
- Plain bracketed fields, so it cannot be adopted on autopilot
Who it is for
- Boards and executive teams without a written AI position
- Organizations in regulated or accredited environments
- Leaders who need something defensible before the next meeting

After the template
A template cannot name your decision owners.
Every bracketed field in this document is a decision someone in your organization has to make. If those decisions keep getting deferred, the Executive AI Governance Session makes them in 90 minutes and puts them in writing.
Questions leaders ask
What is an AI governance policy?
A written statement of who authorizes AI tools, what information may be entered into them, who reviews the output, when AI involvement is disclosed, and what records the organization keeps. It turns informal practice into decisions with owners.
What should an AI policy template include?
Purpose and scope, definitions, principles, authorized and prohibited uses, data handling rules, human review duties, disclosure, a tool approval process, training, incident reporting, records and a review cycle — plus a decision owner matrix, which is the part most templates omit.
Is this template free to use?
Yes. Download it, adapt it for your organization's internal use, and keep it. It is general information, not legal advice, and it does not create an attorney-client relationship.
Do we still need advice if we use the template?
The template gets a competent first policy on the table. Sector rules in health, education, finance, government and the regulated professions, along with your own contracts, may require more. Have it reviewed against your jurisdiction and obligations before adoption.
Want it reviewed against your obligations?
A focused conversation about your organization, your sector rules and the decisions ahead.
